PRIMARY PURPOSE:
Organize and manage the routine work activities of an administrative department office and provide clerical services to the athletic department. Provide quality customer service to all individuals who need assistance from the Athletic Department and to perform assigned responsibilities in an efficient and effective manner.
QUALIFICATIONS:
Minimum Education/Certification:
High school diploma or equivalent
Typing test>40 WPM required
Special Knowledge/Skills:
Excellent communication, time management and interpersonal skills
Excellent telephone and customer service skills
Thorough knowledge of Microsoft Office Suite including Publisher and Excel
Proficient but accurate skills in typing, word processing, data entry, scanning and file maintenance
Ability to operate computer and other office machines
Ability to accurately communicate ideas, instructions, questions and problems, solutions or feelings, orally, visually, in writing or through other means
Ability to work together with other employees as part of a team
Must have basic math skills
Maintain confidentiality of information
Work Conditions:
Tools/Equipment Used:
Standard office equipment including personal computer and peripherals
Posture:
Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion:
Repetitive hand motions including prolonged keyboarding&use of mouse; occasional reaching
Lifting:
Occasional lifting and carrying (less than 50 pounds)
Environment:
Work with frequent interruptions; maintain professional demeanor under stress; must have problem solving skills; occasional prolonged or irregular hours; some in district travel
Regular attendance is an essential function.
Minimum Experience:
Three years clerical experience, preferably in a public school preferred.
MAJOR RESPONSIBILITIES AND DUTIES: Coordinate all transportation requests for athletic department. Manages budget items and requisitions for specific programs. Coordinate all printing needs of the athletic department. Produce the athletic calendar and maintains the athletic web site. Enter purchase orders, requisitions as needed into the software system.Answer incoming calls, takes messages and routes to appropriate staff. Receive, sort and distribute mail and other documents to department staff. Train and supervise interns periodically. Supervise and perform duties at sporting events to facilitate the activity. Electronically file documents for the department.Follow district safety protocols and emergency procedures. Ensure compliance with all local policies and state and federal statutes including the Educator Code of Ethics. Perform such other tasks and accepts such other responsibilities as may be assigned.
