The Office Assistant serves as a reliable point of contact for staff onsite, helps maintain a welcoming and organized environment, and manages recurring daily tasks with strong time awareness and follow?
through.

Tuesday, Wednesday, and Thursday (if hired, Monday and Friday are remote)
Hours:
8:00 AM to 4:00 PM
Start of Day Responsibilities
Turn on office lights
Collect mail and packages from the front desk or mailroom
Sort and deliver items to appropriate staff or locations
Cafe and Butler Pantry Support
Restock supplies such as coffee pods, milk, cocoa powder, plates, napkins, utensils, condiments, and sweeteners
Maintain cleanliness and organization of shared kitchen spaces
Fridge Checks and Restocking
Check all office fridges daily for restock needs
Use nearby cabinet supplies first, then pull from kitchen storage
Note any items that are out of stock and email the supply contact
Copy Machine and Supply Areas
Restock paper and basic office supplies as needed
Walkthrough and General Tasks
Conduct daily walkthroughs of storage areas to monitor organization and supply levels
Check in with facilities contact when on-site
Review and respond to emails and Teams messages
Review product orders and coordinate shipments and related shipping logistics
Process outgoing shipments via FedEx
Monitor and respond to facilities requests submitted through our Facilities Form
Monitor and coordinate business card orders
Maintain simple tracking and follow?
ups to ensure requests and orders are completed
Meeting and Office Support
Provide light support for in?
office meetings or staff gatherings, including room setup, supply preparation, and post?
meeting resets as needed
Serve as a friendly, professional point of contact for staff, visitors, and vendors while onsite
End of Day Responsibilities
Recheck fridge and kitchen supply levels
Send a daily supply needs email to the supply contact
Place Amazon orders as needed if items are not available through our supply contact
Additional Notes
This role requires regular movement throughout the office, including walking, lifting light supplies, and being on your feet for portions of the day
Comfort using Outlook, Teams, and email for daily communication and coordination is important
The role requires strong time management, adaptability, and a proactive approach to identifying and resolving needs
