Purpose of Job

The purpose of this position is to provide administrative, programmatic, operational, and activity support for the ongoing activities and initiatives of the Sustainability Department. Duties and responsibilities include, but are not limited to: writing public interest articles, coordinating and maintaining web page and social media accounts, utilizing information systems for researching, monitoring, and reporting financial and programmatic data, tracking and maintaining unit program accomplishments, assisting with intern and staff training, and performing additional tasks as assigned.

Job-Related Requirements WORK SCHEDULE:

The exact schedule is flexible upon entry into the position, but will be consistent and regularly occur M-F between the hours of 9:00 AM and 5:00 PM. Some after-hours work is anticipated. An average of 20-30 hours per week is anticipated. Some weekend and evening work may be required.

May be required to work on religious holidays.

Regular and predictable attendance is required.

Must work cooperatively with others.

When requirements include vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by ACC's safe driving policy.

Minimum Training&Experience Required to Perform Essential Job Functions

Associate/Vocational/Technical degree in General Business, Secretarial Science, Computer Science or related discipline, and two years of secretarial, office management, marketing, or related experience required; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills and abilities for this job.

Familiar with and/or enthusiastic about nature, energy, and a sustainable community.

Demonstrated history of working collaboratively, as part of a team, and self-directed.

Must possess a valid driver's license. Essential Duties, Responsibilities

Strategic Goals, Energy, and Ecological Conservation Support Support the strategic goals of the unit.

Help to identify resources and research technical and scholarly materials needed to further the unit's strategic goals.

Writing, Media, and Publications Help develop and administer media to include such activities as:

Manage website updates, social media outreach, and other electronic marketing; create digital content for website and social media.

Plan, promote, and market special events.

Learn and train others on the use of publishing, presentation platforms, and other media-related tools to create educational and informational materials.

Conduct interviews for research and publication purposes.

Write, edit, and proof newsletters, reports, public service announcements, informational brochures, and other written documents as needed.

Webpage and Social Media Coordinate and contribute to the website, including reorganization, updates, and revisions.

Maintain and revise web calendars and agendas to meet programmatic needs.

Train/become proficient in social media standards and help train others in same.

Create, post, and monitor social media accounts.

Work to expand current social media audience and incorporate new social media outlets.

Administrative Provide logistical and administrative support to include such activities as:

Administer purchasing, budgeting, and related financial records and systems needed to operate the unit, including account reconciliation and monthly reports.

Schedules/coordinates meetings and activities, maintains records and calendars, responds to internal and external requests, answers the phone, and other duties associated with office administration.

Compose and process correspondence written documents from oral or written instructions, edit proposals, reports, and correspondence..

Monitor and maintain office equipment and supplies and manage inventory.

Assist with the coordination and training of interns, volunteers, and part-time staff.

Train others in the use of software needed to perform functions of the job, including the use of those typically associated with purchasing, office work, and others needed to monitor and support the mission of the office.

Coordinate the implementation of operating policies and procedures for the office, including filing and records management.

Makes travel arrangements and conference registrations for office staff; prepares and processes travel reimbursements.

Attend and record minutes for a variety of meetings, including public hearing and weekly staff meetings.

Attends meetings to obtain information for unit staff. Intern and Volunteer Program Administration Assist with efforts to recruit, train, coordinate, monitor, and maintain appropriate records for volunteers and interns

Provide training, support, and assistance to volunteers and interns related to projects and programs

Grants Assists with grant writing, proofreading, editing, and portfolio design.

Research potential grant opportunities.

Communicates with agencies/donors, maintains records and helps develop reports.

Performs other duties as assigned. Knowledge, Skills, and Abilities Knowledge of the terminology used within the unit.

Knowledge of the policies, procedures, and activities of the unit and agency financial and budgeting documentation requirements.

Knowledge of bookkeeping, modern office procedures, government and department policies and procedures and methods as required in the performance of duties.

Knowledge of biological sciences, ecology, forestry, energy, and/or sustainable practices.

Skill in written and oral communication, in the use and operation of a computer and general office machines.

Skill in organizing work and dealing with the public.

Ability to utilize and understand computer applications and techniques as necessary in the completion of daily assignments.

Ability to compose, edit, proof, revise and create clear and effective written communications for diverse audiences and to backgrounds.

Ability to organize data, research informational and scholarly publications and compile and monitor data

Ability to organize, file, maintain/inventory equipment used by the unit, and create schedules for project, people, and equipment maintenance

Ability to assemble information and make verbal and written reports and documents in a clear, concise and effective manner.

Ability to comprehend, interpret, and apply regulations, procedures, and related information.

Ability to communicate effectively with supervisors and other staff members.

Ability to use independent judgment in routine and non-routine situations.

Ability to handle required mathematical calculations.

Ability to plan, organize and/or prioritize daily assignments and work activities. Supplemental Information (ADA) MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

PHYSICAL REQUIREMENTS:

Must be physically able to operate a variety of machinery and equipment including a personal computer, copier, calculator, 35mm camera, etc. Must be able to use body members to work, move or carry objects or materials. This position requires: walking, standing, bending, stooping, pushing, pulling, lifting, fingering, grasping, feeling, seeing, talking, hearing, and repetitive motions. Must be able to exert up to 35 pounds of force occasionally, and/or up to 10 pounds of force frequently. Physical demand requirements are at levels of those for light to sometimes medium work.
