Our campus is located at 1601 Maple Street, Carrollton, GA 30118.

Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.

Job Summary

The Graduate School Associate is responsible for front office management and customer service by providing a welcoming environment for our applicants, students, and staff. This position also helps assist with application and document processing, creates and maintains electronic communication plans, and helps to manage the Graduate School's social media accounts.

Responsibilities

1 - Front Office and Student Services Support Serve as the first point of contact for the Graduate School, managing in-person, phone, and virtual inquiries. Monitor and respond to a high volume of student inquiries via email and the department's electronic chat service. Assist with troubleshooting student records issues, guiding students through application, enrollment, and registration processes.

2 - Application and Student Records Processing Download and process application materials while maintaining electronic records in the WebXtender system. Verify accuracy of application documents, ensuring compliance with Graduate School and university policies. Support graduate admissions processing by assisting with workflow management, application reviews, and document tracking, relieving pressure on Graduate Admissions Counselors.Operates across multiple systems (Slate, WebXtender, Banner) for admissions and records workflows.

3 - Communications Responds to general inquiries from Georgia's BEST, other partnership participants, and other educator-preparation applicants regarding degree requirements, admission timelines, and certification program pathways. Maintains an introductory understanding of Georgia PSC certification requirements in order to properly advise students on degree options and flag concerns for higher-levelstaff. Ensures any incoming communications from applicants align with licensure and admission policies and uses pre-approved templates to maintain compliance.

4 - Cross-Training and Enrollment Services Support Undergo cross-training in Graduate Admissions and Enrollment Services to provide support during peak processing times and staff shortages. Assist with student registration, enrollment verification, and transcript evaluations, ensuring continuity of service when Enrollment Services staff are unavailable.Provide backup support for graduate admissions decision processing and compliance checks to maintain operational efficiency.

Required Qualifications

Educational Requirements High School / GED

Required Experience 2 years of administrative experience. Strong verbal and written communication skills. Ability to provide accurate information while working in a fast-paced environment. Demonstrated excellence in customer service and office organization. Proficiency with social media platforms, particularly Facebook and Instagram.Ability to manage multiple tasks, prioritize effectively, and maintain confidentiality.

Preferred Qualifications

Preferred Educational Qualifications Bachelor's Degree

Preferred Experience Bachelor's degree. Experience in higher education admissions, student services, customer service, marketing, or related fields. Experience with CRM systems (such as Slate) and/or digital document management systems. Strong problem-solving skills and adaptability in dynamic office settings.

Proposed Salary

$21.63-24.03 Hourly. Paid on a Bi-Weekly Basis.
