Role: Insurance Operations Coordinator
Location: Austin – Lakeline
Duration: 6 months contract
Anticipated Start: March 2025
Hours: 7:30 - 5:30 (Any shift within this time frame)
Contract to hire: 6 month
Remote or Onsite: Hybrid
Interview Process: Zoom Interviews
Ideal Start Date: ASAP
Experience: At least 2 years' of professional experience
Additional Details:
Very Transactional, you will be working in various systems, emails, calls, etc.
Licensing and compliance management (will train on this portion)
Send reminders regarding Continued Education requirements
Assist and stay up to date with compliance changes
Must have strong Data Entry and the ability to operate with different information coming in all at once
Strong email communication
Experience working in high volume environment
Able to pivot from task to task
Training 5-6 weeks in office with training team
First 2 weeks - in classroom virtual module training (ONSITE)
Following 4 weeks - one-on-one trainig with colleagues on the floor
Contact center experience
Processing and assisting with insurance renewals
Tracking of the progress in systems
Hybrid once training is complete
Microsoft Office knowledge required
Current team size is 5, they are looking to double this and add 5 more
Job Description
Licensing & Compliance Management
Process and track new and renewal license applications for producers in accordance with state and federal regulations.
Ensure compliance with all Department of Insurance (DOI) requirements, including maintaining up-to-date knowledge of licensing regulations across multiple jurisdictions.
Assist with internal and external audits related to licensing compliance, providing necessary documentation and explanations.
Operational Efficiency & Process Management
Maintain accurate records of all licensing activities, including expiration dates, renewal deadlines, and status updates.
Support process improvements and standardization of licensing procedures to enhance efficiency and compliance.
Work closely with internal teams, including compliance and business operations, to ensure seamless licensing workflows.
Identify gaps and recommend solutions for reducing licensing delays and improving turnaround times.
Stakeholder Coordination & Communication
Serve as the primary point of contact for licensing inquiries from internal teams, producers, and external regulators.
Provide clear guidance and support on licensing requirements, processes, and escalations.
Communicate licensing updates, renewal deadlines, and regulatory changes to relevant stakeholders.
Assist in training internal teams on licensing policies and best practices.
Reporting & Documentation
Prepare and distribute regular reports on licensing status, expirations, and outstanding renewals.
Ensure all licensing documentation is accurately maintained in internal systems.
