Key Responsibilities
Office Administration & Operations
Serve as the primary point of contact for all property management communication regarding the office building.
Oversee the creation, distribution, and record-keeping of building access cards and parking passes for new and existing team members.
Perform daily administrative duties, including phone/email correspondence, scheduling, filing, document preparation, and mailings.
Manage incoming mail and packages from multiple mailboxes; sort, scan, and distribute to appropriate recipients.
Maintain and organize both physical and digital filing systems.
Track, order, and restock all general office supplies and equipment.
Keep all storage areas organized, including supplies, marketing merchandise, and office equipment inventory.
Facilities & Office Environment
Ensure cleanliness and order in all office spaces, especially shared areas such as the break room and meeting rooms.
Order and replenish kitchen and break room supplies such as snacks, coffee, drinkware, and dining ware.
Coordinate with cleaning vendors and ensure upkeep of facilities.
Event Planning & Company Culture
Partner with the Executive Assistant to plan and execute internal events, company outings, and team-building initiatives.
Manage logistics, vendors, venues, and communication related to company events.
Support for Affiliated Storage Unit Business
Provide administrative support for a storage unit business owned by the President of Park Place Finance.
Handle property management tasks, tenant communication, billing, and collections.
Maintain accurate records and assist with operational needs for this entity.
Requirements
Qualifications
Proven experience in office management, facilities coordination, or administrative operations.
Strong organizational, multitasking, and problem-solving skills.
Professional communication skills and ability to work independently.
Proficiency with tools like Microsoft Office, Google Workspace, and basic database or CRM systems.
Experience coordinating vendors, service providers, or event logistics is a plus.
Prior experience managing multi-entity administrative responsibilities is desirable.
