Administrative Assistant, Ada

Insight Global looking for a highly organized and proactive Administrative Assistant to support a senior business leader in a fast-paced, matrixed environment.
This role requires strong attention to detail, discretion, and the ability to anticipate needs while keeping operations running smoothly.
Key Responsibilities
Manage complex calendar scheduling, proactively resolving conflicts and prioritizing leadership time
Coordinate and oversee travel planning, including itineraries, logistics, and changes
Handle expense reporting and tracking for executive leadership
Support meeting preparation, including materials, presentations, vendor coordination, and logistics
Track and maintain reports and administrative data (e.g., memberships, purchase orders, budgets)
Assist with HR-related administrative tasks (myHR system support, organizational updates, etc.)
Support basic budgeting, including tracking and managing departmental expenses
Act as a gatekeeper and liaison, managing communication flow and access to the executive
Qualifications
1 year of experience in a similar or related administrative role.
Demonstrated ability to juggle multiple and conflicting tasks in a fast paced environment.
Strong written & verbal communication skills (internal & external).
Strong organizational skills.
Local to Grand Rapids, MI (in-office expectations 4x/week - Monday through Thursday).
32 hrs/week - no expectations for travel or overtime.
General business hours will be around 8/8:30am-4:30/5pm EST.
