Description
Under the supervision of the Captain I, the Senior Administrative Clerk performs the following duties: ? Maintain community Emergency Response team (CERT) schedule, including Eventbrite, Google Calendar, and Google Sheets. Handle inquiries from the CERT general email account ( ). Assist with social media content updates related to the CERT program. Maintain files and records concerning the activities of the CERT unit. Prepare CERT program Certificates of Completion. Answer, screen, assign, and refer telephone calls to staff.? Handles incoming mail and maintains the CERT unit staff roster. Convert and prepare documents in Word, Adobe, and Excel. Prepare CERT class files, including schedules, rosters, and agendas for instructors. Follow LAFD correspondence guidelines for submitting memos. Maintain and update emergency preparedness handouts. Maintain the CERT logo to be used on various CERT materials.? Interacts with the public and other agencies concerning CERT emergency preparedness activities and education. ? Assist in preparing paperwork for CERT refresher, Callout Team drills, and volunteer swear-ins; create CERT identification cards for volunteers. Responsible for ordering supplies and utilizing the supply requisition system and special orders through the Manuals and Orders Unit.? Assist unit supervisor in reconciliation of grant program funds; assist with processing accounting documents for corrections of timekeeping errors; periodically monitor the allocation versus actual expenditures of Grant funds; identify and correct errors and deficiencies. ? Assembles grant activity binders that include training course documentation; establishes and maintains accounting and related files for the grant Unit; files grant-related documents, and orders office supplies as needed.
