Virtual Management Services is seeking a reliable and detail-oriented Insurance Virtual Assistant to support insurance agents, brokers, and agencies in their daily operations.
In this role, you will play a key part in ensuring smooth and efficient workflows by handling administrative tasks, client communication, policy processing, and documentation management.
You will assist with quoting, policy servicing, renewals, and maintaining accurate client records while ensuring compliance with industry standards.
This position is ideal for someone who is highly organized, proactive, and familiar with insurance processes, and who can manage multiple responsibilities in a fast-paced remote environment while maintaining accuracy and professionalism.

Responsibilities
Provide administrative support to insurance agents and brokers
Assist with quoting, policy processing, endorsements, and renewals
Manage and update client information in agency management systems (AMS/CRM)
Communicate with clients via email and phone regarding policy inquiries and updates
Prepare certificates of insurance (COIs) and other policy documents
Follow up on pending applications, renewals, and required documents
Maintain accurate and organized digital files and records
Assist with billing inquiries and basic accounting support
Ensure compliance with insurance regulations and company procedures
Handle general administrative tasks as needed
Must Have
Proven experience as a Virtual Assistant, Administrative Assistant, or similar role
Experience in the insurance industry (preferred)
Familiarity with insurance terminology (e.g., policies, endorsements, premiums)
Strong organizational and multitasking skills
Excellent written and verbal communication skills
High attention to detail and accuracy
Ability to work independently and meet deadlines
Proficiency in Google Workspace or Microsoft Office
Preferred Qualifications
Experience with Agency Management Systems (e.g., Applied Epic, AMS360, EZLynx, HawkSoft)
Knowledge of commercial or personal lines insurance
Experience handling COIs and policy servicing
Familiarity with U.S. insurance workflows
Experience with CRM tools and ticketing systems
