Operating Room Assistant/Administrative Assistant
Provides administrative services to Perioperative Services including maintaining OR schedules, physician orders, departmental communication, and other services as needed.
Collects payment on services rendered in a timely and efficient manner and answers all inquiries from patients in a courteous and timely manner.

Major Tasks, Duties, and Responsibilities:
Demonstrates thorough understanding of block scheduling and surgeries performed in each operating room.
Maintains accuracy when obtaining scheduling information from a physician or physician's office.
Maintains accuracy when entering scheduling information into the computer system.
Communicates all physician's special requests in a timely manner; notes this on the OR schedule as appropriate.
Prepares and delivers the OR schedule daily.
Communicates OR schedule changes to the OR Charge RN, anesthesia, patient care unit, and any other departments affected.
Answers the telephone in a professional and courteous manner, forwards messages and calls to appropriate personnel.
Delivers specimen to the Clinical Lab when necessary.
Demonstrates the ability to obtain the necessary information for scheduling: Patient's name, patient's age, physician, procedure to be performed, anesthesia required, date procedure to be performed, and special requests.
Demonstrates the ability to compile Surgical Services statistics.
Interacts professionally with physicians, patients/ families and others.
Obtains licensed nurse when family requests communication regarding the patient's condition beyond the Admin Assistant's scope of practice.
Handles delivery of mail daily to and from the department
Orders office supplies and printing, as required, and picks-up orders.
Notifies Engineering of any equipment not in proper working order; completes necessary paperwork.
Communicates information about the surgical process to the patient's family in the waiting room, as directed.
Takes and records messages and communicates to appropriate medical staff.
Establishes and maintains effective communication and good working relationships with co-workers for the patient's benefit.
Utilizes initiative; strives to maintain steady level of productivity; self-motivated.
Organization and management of secretary's activities reflect due consideration for the needs of the department and staff.
Makes decisions reflecting knowledge of facts and good judgment within the Admin Assistant's scope of practice.
Performs the duties of Pre-Admission Financial counselor as needed:
Responsible for pre-registering patients by telephone contact and verifying insurance benefits through use of internet, automated voice response and other integrated systems, prior to the patient's arrival for testing.
Accurately updating patient demographic and insurance information as necessary.
Determines primary insurance liability in cases requiring coordination of benefits (spouse, dependent child).
Initiates communication to insurance companies to determine extent of coverage (if any), certification requirements and other co-payment provisions.
Explains to patients their estimated financial obligation and assists patients in determining the best method to meet their obligation, including advising patient of free and reduced charge program and application process.
Collects advance down payment on self-pay patients as defined in hospital's policy and procedures.
Collects co-pay and deductibles on commercial patients based on the insurance verification as defined in hospital's policy and procedures.
Reviews prior accounts and makes recommendations for their resolution as defined in hospital's policy and procedures.
Makes acceptable payment arrangements as stated in payment policy guidelines.
Refers potential Medicaid patients to Medicaid Benefit Specialist for screening process.
Notifies the physician's office of any potential delay or change in procedure due to certification requirements.
Ensure all physician orders meet current standards and policies.
Obtain clarification of orders from physician office.
Documents all contact with patients, family, employers and third-party payers in the appropriate HIS system.
Continues to stay informed of any policy or regulation changes that could affect collection of receivables.
Updates personal manual with current revisions of policies, reviews Communication Board and monitors electronic mail for current regulations.
Documents all patient complaints on a "patient complaint form" and forwards to the Customer Service Representative for review.
Coordinates scheduled absences with co-workers to provide adequate coverage for department.
Validates patient status per insurance requirements with type of procedures performed.
Coordinate patient flow with servicing departments to excel in customer service.
Participates and attends Quarterly Surgical Committee Meetings by supplying required Perioperative Department Data.
