The Administrative Assistant provides comprehensive administrative and logistical support across the entire Charlotte campus, serving both the Charlotte Packaging facility and the Distribution Center. This full‑time, on‑site role ensures smooth daily operations by coordinating campus activities, managing administrative processes, and supporting cross‑functional teams five days a week.
Responsibilities:
Order, track, and stock all office, cleaning, maintenance and operational supplies for all facilities and common areas
Manage office spending budget and expense tracking
Support Purchasing Inventory Control team with cross-checks and price changes for purchase orders
Enter and receive POs from all departments and submit to JDE and Buy-4-Bic, and Accounts Payable
Process and submit invoices for all Charlotte facilities
Submit maintenance service tickets as needed
Coordinate with leadership and support facility visitors with planning and day-of events, bookings and meals
Serve as point of contact for coordination of employee work perks such as uniform orders, game tickets, product goodie bags, shoe truck, flowers/gifts, anniversaries / milestone, etc.
Support HR team with engagement event planning, supply order, day-of planning and communications
Administer company communications and content through posting flyers and TV monitors
Maintain relationships with facility vendors (i.e.: Canteen, water filter company, etc.)
Responsible for managing phone calls and any onsite visitors
Other duties as assigned
Qualifications:
3+ years of experience in an administrative assistant role; 2+ years of experience in invoicing/purchase order administration; experience supporting distribution center, production or manufacturing is a plus
Excellent communication and interpersonal skills
Ability to handle multiple priorities in a fast-paced environment with minimal supervision
Must be organized and hit important deadlines
Is a self-starter and willing to roll up his/her sleeves; takes initiatives, is proactive and detail oriented.
Comfortable in a fast-paced and often-changing environment: Must have the ability to multitask and prioritize quickly
High proficiency in Microsoft Office, Concur and JDE
Annual Base Salary around 60,000 USD
