Summary:
The Podiatry Office Manager is responsible for overseeing the Scheduling, Insurance Verification, and Billing departments. This role ensures that operations within these departments run smoothly and efficiently, contributing to optimal patient care and financial health of the practice. The Office Manager provides leadership, monitors workflows, ensures compliance with policies and regulations, and serves as a liaison between staff and upper management.
Responsibilities:
Essential Duties and Responsibilities:
Provide leadership and support to staff in Scheduling, Insurance Verification, and Billing departments.
Train new employees and provide ongoing coaching and development.
Conduct performance evaluations and provide constructive feedback.
Oversee daily operations, ensuring accuracy, efficiency, and adherence to policies.
Reviews A/R aging reports and manages overall flow of information to improve
Provides company growth ideas and effects their
Maintains our current high level of customer
Participate in business and professional meetings to promote best practices and to further working relationships.
Adherence and promotion of the company’s core
Ability to read, understand, and use CPT, LCD and ICD-10 codes and adhere to Medicare guidelines and compliance.
Superior organizational skills and attention to detail.
Scheduling & Patient Coordination:
Ensure efficient scheduling processes to optimize provider availability and patient flow.
Oversee facility schedule confirmations, cancellations, and reschedules.
Address patient or facility complaints and concerns related to scheduling.
Insurance Verification & Billing Oversight:
Ensure accurate and timely insurance verification for all scheduled patients.
Monitor claims processing and oversee billing team performance.
Assist in resolving denied or rejected claims and coordinate appeals as necessary.
Ensure compliance with insurance policies and regulatory requirements.
Work closely with the billing team to optimize revenue cycle management and minimize delays.
Compliance & Process Improvement:
Ensure adherence to HIPAA and other regulatory requirements.
Implement best practices to enhance operational efficiency within the departments.
Develop and update policies and procedures to improve workflow.
Monitor key performance indicators (KPIs) and report findings to upper management.
Other Responsibilities:
Adheres to the policies and procedures of KG Health Partners, Inc. and Community Health Solutions of America.
Maintains strict confidentiality of client, company, and personnel information.
Demonstrates a strong commitment to the mission and values of the organization.
Adheres to company attendance standards.
Performs other duties as assigned.

Project Management Skills
Qualifications:
5 years minimum medical management experience required, podiatry preferred.
Working knowledge of healthcare related financial management, specifically medical practice accounting, third-party reimbursement issues and patient scheduling and
Experience in using and managing medical practice management software and electronic
Strong IT skills including expertise in Word, Outlook, and Excel (must be able to create and update Excel spreadsheets and graphs).
Exceptional communication skills – both written and verbal
Education and/or Experience:
Bachelor’s Degree is Preferred
Certificates, Licenses, Registrations:
Practice Manager Certification and/or Certified Professional Biller/Coder is preferred.
Computer Skills:
Proficiency using software programs such as MS Word, ACCESS, PowerPoint, Excel and Outlook
Environmental Factors/Physical Demands:
Work is performed in an office environment. While performing the duties of this job, the employee is regularly required to have the ability to maintain active customer and employee communication; access, input and retrieve information from the computer system; enter alpha-numeric data into a computerized system often while listening on the telephone. May be subject to repetitive motion such as typing, data entry and vision to monitor. May be subject to bending, reaching, kneeling, stooping and lifting up to thirty (30) pounds.
