Job Title: Factory Administrative Assistant Location: Moline, IL 61265 Contract: 1+ years, with possible extension

Role Overview: We are seeking a highly organized and proactive Administrative Executive to provide comprehensive, confidential, and high-level support to senior leadership across multiple geographies. This role requires strong judgment, stakeholder management, and the ability to manage complex workflows in a fast-paced environment.

Key Responsibilities:

Provide end-to-end administrative support to senior leaders (Level III and above) and their teams across regions Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements Act as a central point of contact to facilitate workflow, prioritize requests, and ensure smooth communication across teamsDraft and respond to correspondence on behalf of leadership, ensuring professionalism and accuracy Handle sensitive and confidential information with utmost discretion Coordinate meetings, including logistics, materials, and amenities Research, respond to, and resolve internal/external queries; escalate critical issues when neededPrepare reports, presentations, and summaries by gathering and analyzing data from multiple sources Maintain and update databases, records, and systems to ensure data accuracy and accessibility Support project coordination and follow-ups on key deliverables across stakeholders Manage documentation, reports, and communication for leadership review and approvalFacilitate communication between leadership and senior stakeholders, conveying instructions and updates effectively Provide multilingual support where required. Qualifications&Skills:

Bachelor's degree or equivalent experience Proven experience in executive/administrative support in a global or matrix organization Strong organizational, multitasking, and time management skills Excellent written and verbal communication skills High level of discretion in handling confidential informationStrong problem-solving abilities and attention to detail Proficiency in MS Office and collaboration tools Ability to work independently and manage competing priorities Experience supporting cross-functional, global teams is preferred.
