We are seeking a highly organized and motivated Administrative Assistant with experience in residential construction administration. This position is ideal for someone who understands construction operations, client communication, project coordination, invoicing, scheduling, and contract management.We are looking for a dependable team player who can help keep projects, paperwork, financial tracking, and office operations running smoothly in a fast-paced construction environment.
Responsibilities Prepare and manage construction proposals, contracts, and change orders Assist with AIA contract documentation and project paperwork Handle invoicing, billing, and payment tracking through QuickBooks Manage schedules, emails, calendars, and communications using Microsoft OutlookPrepare spreadsheets, budgets, logs, and reports using Microsoft Excel Coordinate with clients, subcontractors, suppliers, and municipalities Maintain permits, insurance certificates, and project files Answer phones, emails, and provide administrative support to project management Track material orders, deliveries, and subcontractor documentationOrganize digital and physical job files
Qualifications Experience in construction administration preferred Familiarity with AIA contracts and construction documentation Proficiency in QuickBooks required Strong working knowledge of Microsoft Excel and Microsoft Outlook Strong communication and organizational skills Ability to multitask and work independentlyExperience with residential or high-end custom home construction is a plus
