School Receptionist (Partial Span, Less than 500 Students)
Serve as the primary point of contact for students, parents, staff, and visitors while maintaining accurate student attendance and PEIMS records. Provide front-office, clerical, attendance, and data-entry support to ensure efficient campus operations. At smaller campuses, this position combines receptionist and attendance responsibilities and requires flexibility to prioritize duties based on daily campus operational needs and reporting deadlines.Greet visitors, manage security check-in procedures, issue visitor badges, and direct visitors appropriately. Answer and direct incoming phone calls, take reliable messages, and provide front-office support. Promote positive public relations with students, parents, staff, and community members. Collect, enter, and maintain attendance, registration, and PEIMS data in Ascender/SIS in accordance with district and state requirements.Maintain accurate student records, cumulative folders, and related documentation. Prepare attendance reports, class rosters, and other required campus reports. Monitor attendance concerns and communicate issues to campus administration. Assist parents, students, and staff with attendance, registration, and campus inquiries.Contact parents to verify student absences as needed. Provide clerical support during enrollment, attendance, PEIMS, and reporting periods. Handle cash and point-of-sale transactions and complete daily closeout procedures when assigned. Sort and distribute mail, messages, and campus documents. Maintain confidentiality of student and staff records and follow district safety procedures.Perform other duties assigned to support efficient campus operations. High school diploma or GED required. One to two years of clerical, attendance, front-office, or data-entry experience preferred. Proficiency with computers, office software, multi-line phone systems, and office equipment. Strong typing, organizational, communication, customer service, and data-entry skills.Ability to maintain confidentiality, accuracy, professionalism, and emotional control while managing multiple priorities in a fast-paced environment. Bilingual (English/Spanish) preferred. Work in a fast-paced front-office environment with prolonged use of computers, phones, and office equipment, frequent interaction with students, staff, parents, and community members, occasional light lifting, extended hours, and the ability to maintain professionalism and emotional control under stress.
