Administrative Assistant - Research

In this pivotal role, you'll play a key part in enabling groundbreaking scientific work by managing diverse administrative tasks for a leading faculty member.

Compensation
$***** per hour
Responsibilities
Manage and maintain the professors calendar, ensuring all appointments and meetings are efficiently coordinated
Organize conferences, research activities, and committee functions
Arrange travel logistics and prepare comprehensive itineraries
Compile, review, and draft reports, memos, and recommendation letters
Facilitate the onboarding process for new lab members, including visa documentation
Act as a liaison between faculty, collaborators, vendors, and administrative offices
Support the grant application process by preparing essential documents, such as biosketches and budgets
Advise on NIH forms and policies, and coordinate with MITs Office of Sponsored Programs
Conduct literature searches and utilize AI platforms to assist with presentation materials and figures
Monitor and reconcile award accounts, budgets, and expenses with finance teams
Handle travel and expense reimbursements accurately and promptly
Maintain and update the laboratorys website content
Coordinate faculty meetings and organizational events
Assist in procurement activities and supply management as needed
Requirements
High school diploma or equivalent required; Bachelor's degree in Neuroscience or related field preferred
At least 3 years of administrative experience supporting senior professionals, ideally in an academic or research setting
Demonstrated interest in neuroscience or scientific research environments
Strong organizational skills with excellent attention to detail and multitasking abilities
Excellent interpersonal, communication, and customer service skills
Proven ability to handle confidential information with discretion and good judgment
Capable of working independently and collaboratively in a fast-paced environment
Experience with event planning, travel arrangements, invoice processing, website updating, and budget reconciliation
Proficiency in MS Office Suite (Excel, Word, PowerPoint, Access), Adobe Acrobat, and Outlook iCal; experience with HTML, web editing tools (Drupal, WordPress), and AI platforms (such as OpenAI, Anthropic) highly preferred
Familiarity with research administration, including NIH policies and grant processes, is highly advantageous
