Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! As the first point of contact, you will play a key role in managing administrative tasks with enthusiasm and professionalism. This paid position is perfect for someone eager to develop their administrative skills while contributing to a vibrant team.Responsibilities Serve as the front desk ambassador, greeting visitors and clients with warmth and professionalism Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracyUtilize Microsoft Office Suite, Google Workspace, and other computer skills to prepare reports, correspondence, and presentations Coordinate calendar management, appointment scheduling, and meeting arrangements for staff and executives Support office management tasks such as supply inventory, equipment maintenance, and general clerical dutiesAssist with bookkeeping activities using QuickBooks or similar accounting software when needed Provide exceptional customer service by supporting client inquiries and offering timely assistance Experience Previous office experience or clerical experience demonstrating strong organizational skills and attention to detailProficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools Experience with multi-line phone systems, front desk operations, and phone etiquette Bilingual abilities are highly valued to support diverse client needs Familiarity with office management tasks such as filing systems, calendar management, and document proofreadingPersonal assistant or medical/dental receptionist experience is a plus but not required Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Join us in this engaging role where your organizational talents will shine!
