Senior Executive Assistant

The City of Peoria is seeking a Senior Executive Assistant to perform highly responsible, complex, and confidential executive-level administrative and operational support duties for the City Manager's Office and Deputy City Manager's Office. This position exercises independent judgment and discretion on significant administrative matters, manages sensitive communications and information, coordinates executive operations, and provides strategic administrative support related to departmental and organizational priorities. This includes, but is not limited to:Providing advanced executive-level administrative support to the City Manager and Deputy City Managers. Managing schedules, coordinating meetings, prioritizing requests, and preparing correspondence. Handling sensitive and confidential matters requiring discretion and independent judgment. Maintaining confidential records, files, reports, legal documents, personnel information, and executive communications.Coordinating executive operations and administrative activities with executive leadership, elected officials, department directors, employees, community stakeholders, and external agencies. Researching, analyzing, compiling, and preparing reports, presentations, agenda materials, briefing documents, and recommendations.Coordinating and supporting budgetary, procurement, payroll, human resources, financial tracking, and reconciliation activities. Assisting in the development, implementation, interpretation, and improvement of administrative procedures, operational practices, and organizational processes. Managing and coordinating special projects, strategic initiatives, meetings, presentations, travel arrangements, and organizational events.Performing related duties as assigned. The ideal candidate for this position will: Demonstrate exceptional professionalism, diplomacy, and discretion in handling sensitive and confidential matters. Possess strong executive-level administrative, organizational, and communication skills. Be able to manage competing priorities in a fast-paced executive environment.Exercise independent judgment and discretion regarding matters of significance. Build and maintain effective working relationships with executive leadership, elected officials, employees, and external stakeholders. Be proficient with office technology and administrative software systems. Have experience in a municipal or government setting is preferred.
