Job Services & Accounting Assistant
The Client Services & Accounting Assistant serves as the first point of contact for clients while providing essential accounting and payroll support to the firm.
This role combines front desk responsibilities with hands-on accounting assistance, requiring strong customer service skills, attention to detail, and working knowledge of QuickBooks.
The ideal candidate is organized, professional, and comfortable supporting multiple clients in a fast-paced CPA firm environment.
Client Services & Front Desk
Greet clients and visitors in a professional and friendly manner
Answer and direct incoming phone calls and emails
Schedule client appointments and manage calendars
Maintain client records and ensure accurate documentation
Handle incoming and outgoing mail, scanning, and filing
Accounting & Payroll Support
Assist with data entry and transaction posting in QuickBooks
Process payroll for many employees
Help prepare invoices, billing statements, and client reports
Reconcile bank and credit card statements as needed
Organize and maintain financial documents for accountants and CPAs
Administrative Support
Assist with general office administration and organization
Support accountants with special projects and deadlines
Maintain confidentiality of client financial and personal information
Requirements
Previous experience in an accounting, bookkeeping, or CPA firm environment preferred
Working knowledge of QuickBooks (required)
Basic understanding of accounting principles and payroll processes
Strong customer service and communication skills
Proficiency in Microsoft Office (Excel, Word, Outlook)
Excellent organizational skills and attention to detail
Ability to manage multiple tasks and prioritize effectively
Preferred Qualifications
Experience with payroll systems and multi-client environments
Associate's degree in Accounting, Business, or related field
Prior client-facing or front desk experience
