We are seeking a highly motivated and skilled professional for the role of Secretary to support The Prototype Recovered Ordnance Destruction System (PRODS) project based in Huntsville, Alabama, within the Redstone Arsenal. The selected candidate will play a pivotal role in ensuring effective administrative support and the smooth operation of day-to-day tasks. Key duties include:Adhere to and promote safety protocols, prioritizing personnel and team safety. Ensure all work complies with environmental permits, regulations, and organizational standards. Flexibility to work overtime or varying hours as required. Maintain consistent attendance and punctuality according to the work schedule.Work closely with the team in a demilitarization facility. Administrative Support: Handle correspondence, memoranda, and reportsoften of a technical naturewith meticulous attention to detail, ensuring proper spelling, grammar, punctuation, and sentence structure. Act as the primary procedure coordinator for the project, managing procedure-related documentation.Process paperwork for interim changes, munitions accountability, and maintaining accurate log records. Serve as a Project Technical Writer, preparing and maintaining administrative plans, procedures, and technical documents for Plant Management. Meeting Coordination&Communication: Serve as the note-taker for Plant Management staff meetings; prepare, summarize, and distribute meeting minutes to attendees. Answer and initiate internal and external calls with professionalism, promptly communicate messages, and handle inquiries independently when needed. Organize appointments, arrange meetings, and maintain a calendar of commitments, ensuring management is updated on schedules and priorities.Prepare and deliver presentations using tools like PowerPoint. Record Keeping&Documentation: Organize, file, and maintain department records, ensuring both hard copy and electronic files are up-to-date and accessible. Maintain comprehensive compliance records and work orders for the project. Archive important documents and electronic records, creating and submitting historical record packages as needed.Compile, analyze, and input plant-related data into computer systems to generate accurate reports. Ensure accuracy of the Daily Operations Report (DOR) and facilitate its timely distribution alongside accountability and compliance documentation. Additional Tasks: Perform data analysis and create summary reports for stakeholders.Carry out special projects assigned by management leadership. Actively collaborate with internal teams, clients, and external agencies through effective oral and written communication. Perform other administrative tasks and duties as required to support Plant Management's functions and strategy.Required Qualifications&Skills
The ideal candidate will possess the following qualifications and abilities: High school diploma or equivalent education. Minimum of 5 years of professional secretarial or administrative experience. Proficiency in standard software applications such as Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).Must be a U.S. citizen or naturalized citizen able to obtain and maintain site access. Must be at least 18 years of age. Willingness to work flexible hours, including overtime, varying shifts, or rotating schedules as needed. Ability to function effectively in an industrial environment, working near or within a demilitarization facility.Excellent verbal and written communication skills, with strong attention to detail and the ability to prioritize and multi-task. Demonstrated experience in compiling, analyzing, and presenting data clearly and accurately. Strong organizational abilities, including effective filing and record-keeping for both digital and hard copies.Ability to meet tight deadlines, manage multiple projects, and handle high-pressure situations with minimal supervision. Professional demeanor when interacting with various levels of personnel, managers, and clients while maintaining confidentiality. Compensation Details
