Description
We are seeking a highly organized and proactive Administrative Assistant to support a fast-paced leadership team in Glendale, CA. This role is ideal for a polished professional who thrives in dynamic environments, can manage multiple priorities simultaneously, and demonstrates strong discretion when handling confidential information. Experience supporting executives within a studio, agency, or entertainment environment is highly preferred.Location: Glendale, CA Pay Rate: $33/hour Duration: 5-Month Contract Responsibilities:
Manage complex calendars across multiple stakeholders, priorities, and time zones Coordinate domestic and international travel arrangements, itineraries, and logistics Support team operations including catering orders, office supplies, and administrative requests Prepare meeting agendas, presentation materials, notes, and follow-up action itemsProcess expense reports, invoices, purchase requests, and timesheet submissions Serve as a professional point of contact for internal and external communications Track deadlines, action items, and deliverables to support team efficiency and accountability Assist with planning team events, offsites, site visits, and department activitiesMaintain organized digital files, shared resources, and records Coordinate onboarding logistics for new hires including scheduling, workspace setup, and access requests Support leadership with research, presentation preparation, and special projects Anticipate scheduling and logistical conflicts while proactively identifying solutionsProvide backup support for senior management administrative functions as needed Maintain confidentiality of highly sensitive information Required Qualifications:
3+ years of administrative support experience, ideally supporting executives or leadership teams Strong organizational and multitasking skills with the ability to prioritize effectively in a fast-paced environment Excellent written and verbal communication skills High attention to detail and follow-throughProfessional demeanor with sound judgment and discretion Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Experience with SAP, Concur, expense reporting, and calendar management tools Ability to interface confidently with all levels of an organization Preferred Qualifications:
Experience supporting departments, productions, studios, or project-based teams Prior experience within a film studio, entertainment company, or agency environment Familiarity with travel coordination, procurement processes, and team communications Bachelor's degree or equivalent work experienceDisney experience strongly preferred
