We are seeking a highly organized and detail-oriented professional to join our team as an Executive Accounting Purchasing Assistant .
This individual will play a key role in supporting the CEO and managing day-to-day financial operations, including creating invoices, processing purchase orders, maintaining product quotes and pricing, and ensuring accuracy in accounting records.
The ideal candidate is proactive, quick to learn, and thrives in a fast-paced environment.
A strong understanding of QuickBooks, accounting principles, and the relationship between invoices and purchase orders is essential for success in this role.
Key Responsibilities:
Accounting & Financial Operations
Create, process, and manage invoices and purchase orders , ensuring accuracy and timeliness.
Understand and manage the impact of invoices versus purchase orders on financial reporting and cash flow.
Oversee accounts payable and accounts receivable to ensure timely payments and collections.
Support month-end and year-end closing procedures.
Maintain accurate and up-to-date quotes, pricing lists, and cost records for products and services.
Collaborate with internal departments to streamline and improve accounting processes and workflows .
Executive & Administrative Support
Serve as the official assistant to the CEO , managing calendars, communications, and day-to-day administrative needs.
Prepare and organize reports, presentations, and documentation as needed.
Coordinate with internal and external stakeholders on behalf of the CEO.
Handle sensitive and confidential information with discretion.
Qualifications:
Proven experience with QuickBooks and general accounting practices.
Strong understanding of invoicing, purchase orders, and their financial implications .
Excellent organizational and multitasking skills with a high attention to detail.
Strong communication and interpersonal skills.
Ability to adapt quickly and perform effectively in a fast-paced, dynamic environment .
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
