We are a rapidly scaling, innovation-driven manufacturer specializing in proprietary structural solutions for the construction industry. As we continue to expand our footprint, we are seeking an Office Manager/Front Office Administrator who thrives in a high-growth environment and takes pride in driving organizational excellence. This is not a passive, "check-the-box" administrative role. We are looking for a high-impact professional who enjoys being the "engine" of the office—someone who proactively solves problems and elevates the working lives of the entire team. **Important to note the schedule**

- Monday through Thursday 7:30am-5pm
- Friday 7:30am-12pm.
- Educational Background: A Four-year Bachelor’s degree is preferred; equivalent professional experience in high-growth operations will be considered.
- Systems & Technical Fluency: * ERP Systems (Required): Demonstrated proficiency with Enterprise Resource Planning software or similar institutional platforms.
- CRM Software (Preferred): Experience utilizing Customer Relationship Management tools to streamline workflows.
- Microsoft Office Suite: Advanced proficiency in Excel (data management) and Word (professional documentation).

- Communication Excellence: Exceptional verbal and written communication skills, characterized by a professional telephone presence and an ability to engage effectively with stakeholders at all levels.
- Critical Thinking: strong reading comprehension and active listening skills, with a proven track record of exercising sound judgment and independent decision-making.
- Organizational Mastery: A high degree of organization with the ability to prioritize competing tasks in a fast-paced environment.
- Legal & Compliance: An active Florida Notary Public commission (or be eligible and willing to obtain one immediately).

- Guest & Communication Management: Act as a professional brand ambassador, greeting guests and managing a multi-line phone system to ensure seamless communication routing.
- Facility & Vendor Oversight: Lead building maintenance operations by sourcing, scheduling, and supervising vendors to maintain a high-standard office environment.
- Event & Travel Coordination: Execute end-to-end logistics for company events—including venue booking and catering—and manage complex travel itineraries.
- Financial & Administrative Support: Support the finance team by facilitating Accounts Receivable (AR) collections and accurately processing Accounts Payable (AP) entries.
- Inventory & Procurement: Optimize supply chain levels for office consumables and vending; manage, organize, and track all company branded merchandise (swag).
- Logistics & Records: Direct all incoming/outgoing mail and FedEx shipments. Maintain high-integrity digital and physical filing systems in compliance with retention policies.
- Legal Authentication: Serve as the designated Notary Public for internal and external corporate documentation.
