Fairgrounds Guest Services&Office Support Volunteer
Hours volunteering could be up to 40 a week during Fair Events. The Fairgrounds Guest Services&Office Support Volunteer assists fair staff by providing friendly customer service to visitors and performing light clerical tasks that help daily operations run smoothly. This role supports the front office, information areas, and event service points by greeting the public, answering basic questions, directing guests, and helping with routine office duties such as organizing documents, distributing materials, and maintaining simple records. Volunteers in this position help create a positive, welcoming experience for all fairgrounds guests while ensuring staff receive the administrative support needed during busy event periods.Additional Requirements

Completion of required volunteer orientation or training. Ability to provide a clean driving history if needed for certain tasks. Must have a valid Arizona driver's license if operating a fairgrounds vehicle (only if the role requires driving) Essential Job Functions Welcome and assist visitors, vendors, and exhibitors in a friendly and helpful manner.Provide basic clerical support for fairgrounds staff, such as sorting and distributing mail, making copies, scanning documents, filing, organizing paperwork, and date-stamping incoming items. Help maintain sign-in sheets, waiting lists, or schedules for fair programs and services. Assist with answering questions from the public and directing guests to the correct area, booth, or staff members.Support staff by helping track deadlines, schedules, or appointments and communicating information as needed. Monitor office and guest service materials (forms, brochures, supplies) and notify staff when items need replenishing Secondary Job Functions Learn and apply fairgrounds procedures to help visitors and exhibitors receive accurate information.Gather or confirm basic information from guests, participants, or vendors for events or fairground activities. Knowledge, Skills&Abilities Basic understanding of office practices such as filing, organizing documents, and handling forms. Familiarity with customer service principles and positive guest interaction. General knowledge of fairground events, locations, and activities (can be learned on the job). Awareness of safety and visitor-service procedures used during public events.Strong verbal communication and the ability to speak clearly and politely with visitors. Good organizational skills for handling paperwork, schedules, and informational materials. Basic computer skills, such as email use, scanning, printing, or simple data entry. Time-management skills to help meet deadlines and keep tasks moving smoothly.Manage multiple small tasks in a busy environment. Greet and assist the public in a friendly, patient, and helpful manner. Follow directions, learn office procedures, and apply them consistently. Work with staff, volunteers, vendors, and guests in a cooperative, team-oriented way. Remain calm and focused in a crowded or fast-paced environment.Maintain accuracy when organizing documents or entering basic information. Stand, walk, or sit for periods of time depending on event needs. Working Conditions/Physical Requirements Work is performed in an office atmosphere, with some exposure to the outdoors. Position requires frequent sitting at desk or table using a computer monitor and equipment.Occasional lifting of objects weighing less than 25 pounds and infrequent lifting of objects weighing 25
