Project Coordinator / Administrative Assistant (Engineering Support)
This role provides critical administrative and project coordination support to engineering and plant operations teams. The position focuses on managing project tracking, reporting, logistics, documentation, and cross-functional coordination to reduce non-technical workload for engineers and ensure smooth project execution.Key Responsibilities
Maintain and update project spend data, including capital and expense portfolios; support budget tracking in coordination with Finance Prepare, analyze, and distribute monthly reports (project spend, labor, SAP-based reporting) Track and report on engineering, departmental, and operational metricsManage experimental parts tracking and support quoting activities Coordinate purchasing requests, receipts, and contractor-related materials Organize and support recurring engineering and plant meetings (including daily plant meetings):
Prepare agendas Consolidate presentations Capture and distribute meeting notes and action items Track follow-ups
Schedule meetings, manage calendars, and coordinate vendor/visitor logistics Support onboarding for new employees, contractors, and interns (materials, system access, setup) Route and track access requests, IT tickets, and facilities service requests Coordinate on-site trainings, seminars, and travel logistics (registrations, itineraries, documentation)Manage shared inboxes, collaboration tools (Teams, SharePoint), and document repositories Maintain SOPs, templates, checklists, and controlled documents; support audit readiness Track project deadlines, submissions, and documentation requirements; send reminders and follow-ups Draft and distribute communications on behalf of the engineering teamPerform additional administrative tasks to support engineering operations Education
High School Diploma or GED required Required Qualifications
Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) Ability to collaborate with stakeholders across departments Experience scheduling meetings and managing calendars across teams/locations Strong organizational and multitasking abilities Excellent attention to detail in data entry, reporting, and documentationAbility to prioritize tasks and manage deadlines in a fast-paced environment Strong written and verbal communication skills Preferred Qualifications
