Patient Care Coordinator / Customer Service Representative Position Overview

We are seeking a customer-focused and detail-oriented Patient Care Coordinator to support a busy healthcare office environment. This role is responsible for managing incoming calls, assisting patients with insurance and product-related inquiries, and coordinating administrative and front-desk activities. The ideal candidate is compassionate, organized, and able to thrive in a fast-paced, patient-facing setting.

Key Responsibilities
  • Answer incoming calls promptly and assist customers with:
    • Insurance coverage questions
    • Product eligibility
    • Cost estimates and billing inquiries
  • Verify insurance information and obtain necessary authorizations and referrals
  • Process patient orders in the system and maintain accurate order status updates
  • Schedule patient appointments and manage walk-in visits
  • Provide front-desk support, including greeting patients and handling check-in/check-out processes
  • File and maintain medical records and customer orders
  • Prepare documentation for imaging and clinical use
  • Coordinate schedules for clinical staff as needed
  • Deliver courteous, professional service to patients of all ages, including those with complex medical needs
Work Environment
  • Fast-paced office with a mix of scheduled appointments and walk-in patients (approximately 30 patients per day)
  • Small team setting with close collaboration among staff
  • Balanced workload: approximately 50% phone-based responsibilities and 50% administrative/front-desk duties
  • Patients may have a wide range of medical conditions; professionalism and empathy are essential
Schedule
  • Monday–Thursday: 8:30 AM – 5:00 PM
  • Friday: 8:30 AM – 4:30 PM
Qualifications

Required:

  • Strong customer service skills (phone and in-person)
  • Excellent communication and interpersonal skills
  • Basic computer proficiency and ability to learn new systems
  • Ability to multitask in a fast-paced environment
  • Professional, positive attitude and team-oriented mindset

Preferred (Nice to Have):

  • Medical or insurance customer service experience
  • Experience with insurance verification or healthcare administration
  • Background in medical reception or front-desk roles
  • Durable Medical Equipment (DME) industry experience
  • Experience handling face-to-face customer interactions
Job Type & Location

This is a Contract to Hire position based out of Lansing, MI.

Pay and Benefits

The pay range for this position is $18.25 - $21.50/hr.
