Position Overview The Operations&Executive Assistant will work directly with ownership and leadership to coordinate customer communication, scheduling, project administration, bookkeeping support, purchasing, and day-to-day business operations. While this is primarily a remote position, the role requires occasional in-person meetings, jobsite visits, training sessions, and team planning meetings throughout the month.We are looking for someone who takes ownership, communicates exceptionally well, and enjoys helping organize multiple moving pieces.
Responsibilities Customer Service&Lead Management Answer incoming calls Return missed calls Respond to website and social media inquiries Schedule customer appointments Confirm appointments and follow-ups Maintain excellent customer communication Construction Operations Support Create and manage jobs in Buildertrend Coordinate permits and inspectionsSchedule subcontractors and deliveries Assist with project documentation Track change orders and job progress Coordinate with vendors and suppliers Financial&Administrative Support Enter receipts and expenses Organize invoices and bills Assist with accounts payable and receivable Track outstanding customer balances Prepare documentation for bookkeeping Maintain organized records Executive Assistant Responsibilities Manage calendars and schedulesTrack tasks and deadlines Assist with planning and organization Coordinate meetings and reminders Help ownership stay focused on priorities Follow up on outstanding action items Property&Rental Operations Respond to guest inquiries Coordinate cleaners and vendors Assist with reservation management Track maintenance requests Support administrative needs related to company-owned properties
Qualifications Required Excellent phone and customer service skills Strong written communication skills Highly organized and detail-oriented Ability to multitask in a fast-paced environment Strong computer skills Reliable internet connection and dedicated workspace Reliable transportation Self-motivated and able to work independently
Preferred Construction industry experience Buildertrend experience QuickBooks experience Executive assistant experience Property management or Airbnb experience Bookkeeping experience Spanish/English bilingual
