We are looking to hire a Group Operations Specialist to join our team based in Barcelona, Spain ! Reporting to the Group Operations Supervisor and Senior Group Operations Manager, you’ll plan, organize and coordinate tailored travel experiences for customized group packages across Europe. This includes designing itineraries, managing logistics, liaising with vendors, handling client communication and ensuring the smooth execution of tours, while ensuring that given budgets are met.
The right candidate will need to show strong organizational skills, problem-solving abilities, and high attention to detail to deliver seamless group travel experiences. They should also be confident managing multiple itineraries and projects at the same time.
What we’ll offer:- Competitive base salary of €24,000-27,000 plus a performance-based bonus scheme

- Accurately process requests and confirmations for all group services while adhering to company policies and procedures.
- Oversee and document all administrative aspects of group bookings, including correspondence, itinerary preparation and revisions, special requests, deposits and final payment arrangements with suppliers.
- Communicate and negotiate effectively with vendors across Europe, including hotels, guides, transportation providers, tourist attractions and other required services.
- Work within established budgets and make independent decisions to ensure group profitability while maintaining high-quality service standards.
- Conduct quality control reviews of contracted suppliers, customer itineraries and final client documentation.
- Reconfirm all services prior to travel to ensure operational accuracy and readiness.
- Take responsibility for tours while traveling, resolving issues promptly and professionally in accordance with company standards, including occasional weekends or after-hours support.
- Maintain consistent communication via phone and email with U.S. and Costa Rica-based team members, providing timely updates and proactively addressing itinerary issues to ensure smooth travel operations.
- Collaborate with the accounting team to prioritize prepayments and reconcile group invoices.
- Utilize our internal system (Softrip) to maintain accurate supplier information and pricing.
- Keep supervisors and managers informed of procedures, operational issues and potential improvements, while proactively recommending solutions.
- Proven experience in operations, trip execution, or a related role within the travel industry.
- Undergraduate degree or equivalent experience in travel, business administration, hospitality management, or a related field.
- Fluent written and spoken English.
- Additional language skills in French, Italian, German or Spanish are an asset.
- Strong attention to detail and excellent organizational skills.
- Ability to manage multiple tasks, prioritize effectively and excel in time management.
- Strong communication and interpersonal skills, with the ability to collaborate effectively across diverse cultures and nationalities.
- Ability to remain calm under pressure and resolve issues professionally and efficiently.
- Proficiency in Microsoft Office applications, including Excel, Word and Outlook.
- Experience with reservation systems designed for tour operators is an advantage.
- Creative problem-solving skills with the ability to suggest and implement new service ideas.
- Patience and a customer-focused mindset when supporting passengers and clients.
- Self-motivated with the ability to work both independently and collaboratively within a team.
- Passion for travel and delivering exceptional customer experiences.
- Strong negotiation skills.
Working Hours & Availability
- Monday–Friday, 9:00 a.m.–6:00 p.m. or 10:00 a.m.–7:00 p.m., including a 1-hour lunch break.
- Availability to handle emergency calls related to traveling groups outside regular office hours, including evenings and weekends, as needed throughout the year.
