As Executive Assistant to the CEO and executive team, you will play a key role in keeping priorities focused, operations running smoothly, and momentum moving forward. Key Responsibilities:
Calendaring & Scheduling
Manage the CEO’s schedule, ensuring seamless coordination of meetings, travel, and engagements.
Provide scheduling support for the executive team, anticipating conflicts and proactively adjusting meetings.
Adapt quickly to shifting priorities while maintaining efficiency and organization.
Administrative Support
Prepare key documents and executive correspondence with accuracy and discretion.
Facilitate signature processes, document management, account access for members of the leadership team.
Track expenses, credit card reconciliations, and travel arrangements for members of the team.
Drive operational efficiency by streamlining administrative processes.
Client Relations & Engagement
Oversee event logistics, including client outings, dinners and special engagements.
Curate meaningful vacation gifts and thank-you notes that enhance business relationships.
Maintain and update business development pipeline records, ensuring timely follow-ups.
Support executives in relationship management and outreach efforts for new and existing clients.
Communication & Specialty Projects
Contribute to internal communication efforts by drafting company-wide messaging, executive announcements, and strategic updates that promote alignment and clarity across teams.
Prepare materials and coordinate logistics for EOS (Entrepreneurial Operating System) quarterly planning sessions, off-site meetings, and strategic discussions.
Assist with coordination and logistics for key company meetings, off-site sessions, and cross-departmental projects to maintain alignment and momentum.
Requirements
Experience: 3+ years of experience supporting leaders administratively.
Education: Associate or bachelor’s degree preferred.
Skills:
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, OneNote).
Exceptional written and verbal communication skills.
Strong organizational skills with the ability to prioritize and multitask.
High level of discretion and professionalism when handling sensitive information.
Ability to anticipate needs and proactively find solutions.
Preferred but not required:
Experience in a professional services environment
