We are a small business seeking a highly organized and responsible Office Administrator to join our team.
Your primary goal is to keep the office running smoothly while supporting both management and production team needs.
You will organize and update files, review orders, track inventory, receive incoming freight, and process invoices.
You will support our team with clerical duties, including answering phones, receiving mail, and welcoming visitors.
You will also ensure the office supplies are stocked, ordering more when necessary.
Our ideal candidate has a strong attention to detail, enjoys wearing multiple hats, and is willing to step in and help wherever needed in a close-knit environment.
Responsibilities and Duties
Office Operations: Oversee day-to-day office activities, including welcoming visitors, answering phones, managing mail, and maintaining office supplies and equipment.
Administrative Support: Provide administrative assistance to upper management and production staff as needed.
Inventory & Purchasing: Maintain inventory, track orders, receive shipments.
Data Entry: Organize and update files, create spreadsheets.
Financial Tasks: Process invoices, track tariffs, update inventory pricing.
Requirements and Qualifications
Experience: 2+ years in general office administration or customer service (small business experience is a plus).
Skills: Strong basic math skills for inventory tracking, and comfort using email, spreadsheets, and basic computer files.
Proficient in MS Office (excel, word).
Communication: Warm, friendly demeanor with the ability to communicate clearly with customers, vendors, and fellow staff.
Independence: A self-motivated worker who can manage their own daily task list without constant supervision.
Attributes: Strong organizational and multitasking skills.
Adaptability: Willingness to step in and help wherever needed in a small team setting.
Manufacturing Context: Experience in a fast-paced manufacturing or production environment is a plus.
