Administrative Assistant
A premier global investment firm is seeking a high-energy, tech-savvy Administrative Assistant to support a small team of professionals within their growing AI division.
You will be a collaborative pillar of the team, sitting in on meetings, tracking deliverables, and leveraging cutting-edge technology to streamline operations.

In office Monday Friday in Midtown East, NYC
Standard hours are 9am5pm, the team is respectful of after hour/weekend work, but must be responsive for urgent matters
Compensation commensurate with experience:
$100,000 $125,000 (slightly flex) + Paid OT + Discretionary Bonus + fully paid benefits, 401k match, PTO, free lunch, and additional perks
Key Responsibilities
Manage complex internal/external Outlook calendars; coordinate room logistics and guest registration.
Attend meetings, capture minutes, and proactively manage reminders and follow-ups for the team.
Arrange intricate domestic and international travel (flights, visas, ground transport) and detailed itineraries.
Actively leverage firm-approved AI platforms and tools to enhance daily workflows, research, and meeting prep.
Oversee corporate expenses and Concur reporting with high attention to detail.
Support firm culture initiatives and execute special projects or small events as needed.
Qualifications:
38 years of administrative experience supporting multiple senior professionals, ideally within finance.
Tech-Forward:

You are upbeat, positive, and a natural "gatekeeper" who operates with extreme discretion.

Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint).
Experience with CRM systems (Dealcloud, Salesforce) and Concur is highly preferred.
Exceptional organizational skills and the ability to multitask in a fast-paced environment.
Strong written and verbal communication skills; a true self-starter.
