Leo Berwick is looking for a highly organized and proactive Executive Assistant to join our team and support up to five Senior Leaders and their teams.
This role is based in New York City and follows a hybrid work model, which requires 34 days per week in the office.

Responsibilities:
Executive Support:
Provide high-level administrative assistance to multiple Senior Leaders, managing calendars, inboxes, and shifting priorities with confidence and discretion.
Document Management:
Draft, format, and finalize client-facing documents including proposals, contracts, invoices, and billing packages.
Project Coordination:
Help scope, initiate, and organize key details for client engagements across multiple, concurrent projects.
Meeting Preparation & Execution:
Prepare materials, presentations, and briefs; attend meetings to take accurate minutes and ensure timely follow-up on all action items.
Information Management:
Proactively download and organize client data from secure data rooms or other sources to keep teams informed and on schedule.
Inbox Oversight:
Manage several inboxes and act as a key point of contact for internal and external communications.
Track, prioritize, and summarize incoming messages
Schedule meetings, flag follow-ups, and ensure appropriate prep materials are available
Brief Partners in advance and maintain clarity on whats been sent and whats pending
Event & Travel Logistics:
Plan and coordinate travel arrangements, event logistics, venue bookings, and expense submissions.
Office Oversight:
Oversee day-to-day office operations, including vendor coordination, space planning, and general facilities management to ensure a well-functioning and professional workplace environment.
Special Projects:
Take on ad hoc assignments and assist with operational needs as they arise, always with a solutions-oriented approach.
Qualifications:
5+ years of progressive administrative experience, ideally in a start-up or high-growth setting.
Experience supporting senior leaders in a fast-moving organization.
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Exceptional organizational skills and strong attention to detail.
Professionalism, discretion, strong interpersonal skills and a high level of integrity.
Ability to anticipate needs, juggle multiple priorities, and adapt quickly to shifting demands.
Comfortable navigating ambiguity and contributing to process-building in a growing company.
