This position involves working with seniors, family members, and professionals in a fun and rewarding environment. The Administrative Assistant is responsible for maintaining the phones and the front desk. The Administrative Assistant will be friendly to all who enter and stop whatever they are doing to help the residents, family members, and visitors.
Anticipated hours would be 4 pm-7 pm Monday-Friday and 9 am-5 pm Saturday-Sunday. Job Responsibilities
We are looking for someone who is compassionate, professional, and highly organized to support the daily operations of our assisted living community. This role requires an individual who understands and promotes the philosophy of assisted living while ensuring residents receive respectful, individualized care in a safe and welcoming environment. Responsibilities include maintaining accurate resident, family, employee, and facility records; assisting with scheduling and doctor appointments; communicating effectively with residents, families, healthcare providers, staff, and leadership; and completing documentation in accordance with facility policies and state regulations. This position also supports front desk operations by maintaining a clean and organized workspace, monitoring infection control practices, collecting guest meal payments, assisting with tours, and helping visitors feel welcome. Additional duties include supervising caregiving staff on assigned shifts, reporting maintenance or safety concerns, assisting with emergency preparedness procedures, transporting residents to appointments as needed, and supporting the Administrator with daily operational tasks. The ideal candidate will maintain confidentiality, uphold resident rights and dignity, work cooperatively with team members, and demonstrate a positive attitude and willingness to help wherever needed to support the success of the community.Job Qualifications
The ideal candidate is dependable, self-motivated, and able to work independently with minimal supervision while maintaining a high level of professionalism. Applicants should have strong organizational and time management skills, the ability to prioritize tasks effectively, and excellent verbal and written communication abilities. We are seeking someone who demonstrates a positive attitude, mature judgment, and a compassionate approach when working with elderly residents, families, staff, and visitors. Candidates should be detail-oriented, accurate, and thorough in completing assigned responsibilities while maintaining a clean and professional work environment. This role requires the ability to remain active for extended periods of time, respond quickly when needed, and adapt in a fast-paced setting. The successful candidate will also have a willingness to learn, apply basic leadership and management skills, follow facility policies and procedures, and contribute positively to the overall culture and appearance of the community.
