Assistant Service Manager
Scheduling
Analyze open work orders and schedule for PM, quoted (once material is available and confirmed by dispatch notes in Sampro), Service Calls and PM Surveys
Review the work order in detail with technician and FS and set goals
Coordinate delivery of materials to get to the job and/or technicians
Work Orders
Manage all open work orders and schedule for entire zone
Enforce usage of Xoi to technicians.
Escalate to SM when necessary
Organize dispatch board
Direct all work orders statuses from:
Waiting Service
Pending
Scheduled
Unacknowledged
Travel
Onsite
Return Trip
Parts Ordered Collaborate with EST
Parts Received
Parts Pick Up
Quote Approved (ASAC tech work) Schedule with no parts needed
Quote Approved(Subcontractor/ With or without ASAC tech) coordinate schedule with sub contractors and customers
Billing
Review completed work orders and add billing instructions and set status to Invoice Review
Escalate problem work orders to SM and set status to Manager Review
PM Work Orders
Check for completeness, prepare future order and close out
Purchasing
Order PM materials
Prepare inventory and Tool PO's for technicians (Approval from Rob with collaboration with FS)
Payroll
Check for accuracy and submit to payroll department
Escalate to service manager any issues
Coil Cleaning
Schedule coil cleaning with customers and subcontractors
Technician Support
Provide equipment lists, coordinate vehicle repairs, etc.
Driving Alerts
Address with technician as needed
Escalate to zone manager as needed
Paycom
Approve time off requests for technicians
Escalate any issues to zone manager
Assist Service Manager with technician reviews
Initiate performance discussions in Paycom and send to SM for approval
