to support daily office operations in a fast-paced industrial environment. This role combines administrative responsibilities with basic
Accounts Payable and Accounts Receivable support
, requiring strong organizational skills, accuracy, and the ability to communicate effectively in both English and Spanish.
KEY RESPONSIBILITIES
Administrative Support Provide day-to-day administrative support to office staff and management Answer phones, respond to emails, and assist customers and vendors professionally in both English and Spanish Manage incoming and outgoing mail, packages, and deliveries Maintain organized filing systems, records, and documentationPrepare reports, spreadsheets, and correspondence using Microsoft Office (Excel, Word, Outlook) AP/AR Support Assist with invoicing, billing, and payment tracking Support Accounts Payable processes including vendor communication and follow-ups Assist with Accounts Receivable collections and customer account inquiriesEnter and maintain financial data in accounting systems (QuickBooks or similar preferred) Reconcile basic discrepancies and escalate issues as needed Additional Duties Support scheduling, purchasing, and service-related documentation Coordinate with internal departments to ensure smooth workflowMaintain confidentiality of financial and company information Assist with general office coordination and special projects as assigned
Qualifications High school diploma or equivalent required 2+ years of administrative or office support experience preferred Bilingual in English and Spanish (verbal and written)
