The hours for this role will be 8:30am-3:00pm Monday-Friday. Join our team as a receptionist for a dedicated 5-week assignment (June 29th - July 31st), where consistent attendance is essential to ensure smooth operations. In this customer-facing role, you'll be the first point of contact for all in-person visitors, customers, clients, and business partners, requiring a professional and polished demeanor.Under the general direction of the Human Resources Manager, this individual is responsible for operating the AVAYA VOIP system that includes direct inward dialing as well as hunt and group line phone system functionality for the Florham Park, NJ headquarters. This person is also responsible to screen and direct all visitors to the building according to CPAT regulations. Other responsibilities are outlined below.Essential Duties and Responsibilities
Include the following. Other duties may be assigned. Responsible for answering all incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Monitors the Chronical phone database to ensure calls are transferred correctly within the sales regions.Answers questions about organization and provides callers with address, directions, and other information when appropriate ensuring confidential information is not released. Welcomes on-site visitors, determines nature of business, and announces visitors to internal personnel. Ensures all security and identification procedures are followed for all visitors.Responsible to unlock and locks the front office vestibule doors daily. Receives, sorts, and routes mail, maintains and routes publications. Maintains the USPS meter dollar balance and weighs and posts the mail daily. Orders, receives, and maintains office supplies. Creates memos, correspondence, reports, and other documents when necessary.Performs other clerical duties as needed, such as filing, scanning, updating reports and helps with ad-hoc projects for other departments. Coordinates catering for company meetings including the Board of Director meetings as required. Sets up and takes down catering deliveries. Oversees the breakroom and coffee areas around the building and ensures they are stocked with allocated supplies and conducts light cleaning when necessary.Competencies Demonstrates professionalism in communications with others in person or over the phone. Demonstrates a high attention to detail. Self-starter who can prioritize daily work independently. Identifies and resolves problems in a timely manner and develops alternative solutions when necessary.Pursues training and development opportunities; Strives to continuously build knowledge and skills. Maintains confidentiality and discreetness. Writes clearly and informatively; edits work for spelling and grammar. Completes administrative tasks correctly and on time; supports organization's goals and values.Prioritizes and plans work activities; Uses time efficiently. Minimum of 2-4 years of related experience and/or training working in an office setting in an independent capacity. Compensation: The hourly rate for this role is $22.00/hour (paid weekly).
