Project Coordinator (Pharmaceutical Industry)

Duration: 3 Months (potential to extend)
100% Onsite - Pearl River, NY
Position Summary:
We are seeking a highly organized, technically proficient, and proactive Technical Executive Assistant to support the Site Head of a fast-paced manufacturing facility. This role is ideal for someone who thrives in operational environments and can seamlessly blend administrative excellence with technical execution.
Key Responsibilities:
· Meeting & Calendar Management
· Plan, schedule, and coordinate internal and external meetings.
· Prepare agendas, take minutes, and track follow-ups.
· Anticipate scheduling conflicts and proactively resolve them.
· Communication & Reporting
· Draft clear, concise, and professional communications for site-wide distribution.
· Prepare executive summaries, dashboards, and weekly updates.
· Maintain confidentiality and accuracy in all correspondence.
· Action Tracking & Follow-Up
· Maintain a live action tracker for site initiatives, audits, and daily operations.
· Ensure timely follow-up and closure of key deliverables.
· Presentation & Documentation Support
· Create visually compelling PowerPoint presentations for leadership reviews, KPIs, and project updates.
· Assist in preparing technical documentation and training materials.
· Operational & Technical Support
· Analyze production or performance data and generate insights.
· Support automation of repetitive tasks using Excel, macros, or digital tools.
· Collaborate with cross-functional teams to streamline workflows.
Qualifications:
· Bachelor's degree in Engineering, Business Administration, or related field.
· 3+ years of experience in a manufacturing or industrial environment.
· Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook).
· Experience with tools like SAP, Power BI, or project management platforms is a plus.
· Excellent written and verbal communication skills.
· High attention to detail, discretion, and a proactive mindset.

· The Site Head's time is optimized for strategic decision-making.
· Meetings are well-structured, actions are tracked and closed.
· Communications are timely, professional, and aligned with site goals.
