Key Responsibilities:
1. Logistics Support:
Audit UPS shipping bills and freight bills to ensure accuracy and compliance with company standards.
Receive inventory into NetSuite, ensuring accurate entry and tracking.
Enter shipping data and fulfill orders in NetSuite, ensuring timely and accurate order processing.
Manage logistics-related inquiries and provide support as needed.
2. Inside Sales Support (Latin America & USA):
Assist the sales team with quoting support for customers in Latin America and the USA.
Prepare, verify, and deliver sales quotes in a timely manner, ensuring alignment with sales strategies and customer requirements.
AR follow up when needed
Track sales quotes and provide status updates to the sales team as needed.
3. Administrative Support:
Manage small purchases and office administration, ensuring high satisfaction rates and cost-effective solutions.
Ensure all company facilities (offices, restrooms, front desk, etc.) are clean, organized, and user-friendly.
Book flights, hotels, and other travel arrangements for US-based staff, ensuring efficiency and cost management.
Organize team events and provide administrative support for internal meetings, conferences, and other company events.
Handle other administrative requests as assigned by management.
Schedule:
Monday-Friday, 6:30AM-3:00PM
Requirements
Key Qualifications:
Proven experience in logistics, sales support, and office administration.
Proficiency in NetSuite or similar ERP systems for inventory and order management.
Strong organizational skills with the ability to manage multiple priorities.
Excellent attention to detail and a proactive approach to problem-solving.
Strong communication skills and the ability to work effectively with cross-functional teams.
Bilingual (English and Spanish) preferred for Latin America support.
Experience in managing travel arrangements and event coordination.
