Schedule M-F– 8:30am – 5:00pm KEY RESPONSIBILITIES Office Supply&Inventory Management· Maintain and organize the office supply stockroom — intake, storage, labeling, and release of supplies · Track inventory levels and monitor minimum/maximum thresholds for all stocked items · Initiate reorder requests when stock reaches minimum reorder levels · Receive incoming supply deliveries, verify against purchase orders, and log into inventory· Maintain an accurate inventory log tracking usage, requests, and current stock levels · Fulfill internal supply requests from staff and departments in a timely manner
Sales&Information Lead Intake· Serve as the first point of contact for inbound sales inquiries received via phone and email · Collect all required information using a provided intake form and procedure · Ensure all lead information is complete and accurate before routing to the appropriate executive or team· Log and track all inbound leads and follow up to confirm receipt and next steps · Follow intake procedures and instructions provided by the Executive Administrator
Executive&Meeting Support· Assist with scheduling and calendar coordination for executives as directed · Prepare and set up conference rooms for internal meetings — materials, seating, and hospitality · Support basic correspondence and document preparation for leadership upon request · Coordinate occasional executive travel — research flight and hotel options, compile itineraries, and book accommodations for a few trips per year
General Office Support· Keep common areas, break rooms, and conference rooms clean, stocked, and presentable · Receive and distribute incoming mail and packages; coordinate outgoing shipments · Greet and direct occasional walk-in visitors or vendors professionally · Assist with light data entry, filing, scanning,and document preparation· Support ad-hoc tasks and projects assigned by management
QUALIFICATIONS Required· High school diploma or GED · 0–2 years of experience in an office, administrative, or customer-facing support role · Comfortable collecting information over phone and email in a professional manner · Basic proficiency in Microsoft Office (Word, Excel, Outlook) or Google Workspace· Organized, detail-oriented, and able to manage routine tasks independently · Reliable, punctual, and professional Preferred · Experience with office supply or stockroom management · Prior work in a manufacturing, printing, or light industrial office environment · Bilingual in English andVietnamese (a plus, not required)
