Description

Well-established HVAC Contractor partnered with Aspen Personnel Service to find a detail-oriented and goal-driven professional to join their growing team as an Accounting Assistant/Project Administrator.


Key Responsibilities:


  • Prevailing Wage Payroll Management:



    • Add new projects to the job tracking sheet.
    • Enter new employee information into spreadsheets.
    • Calculate monthly fringe benefits.
    • Update federal sick time adjustments weekly for payroll.
    • Compute weekly pay rates and weighted-average overtime.
    • Input payroll adjustments into Service Titan for prevailing wage and overtime rates.
    • File prevailing wage reports weekly via the L&I website and share with general contractors.



  • Administrative and Accounting Support:



    • Obtain permits for new projects.
    • Manage monthly commercial construction progress billing.
    • Reconcile and close projects monthly.
    • Post payments and ensure waiver accuracy.
    • Create operations and maintenance (O&M) manuals.



  • Compliance and Verification:



    • Review timecards in Paycom.
    • Cross-check subcontractor invoices.
    • Notarize waivers for billing and payment purposes.
    • Prepare and send waivers to subcontractors and suppliers.
    • Calculate Idaho use tax monthly.



Qualifications and Skills:

  • Previous experience calculating prevailing wages and weighted-average overtime.
  • Skilled in filing certified payroll reports.
  • Knowledge of construction progress billing, including lien waivers, releases, and retainage.
  • Advanced proficiency in Excel.
  • Strong attention to detail and multitasking ability.
  • A self-starter capable of working independently.
  • Familiarity with Service Titan and Paycom is a plus.
  • Experience using prevailing wage portals such as Procore and LCPTracker is advantageous.

Schedule:

  • Enjoy a flexible schedule!
  • Monday through Friday, 40 hours per week.

Compensation:

  • $32$40 per hour, depending on experience.
