Head Secretary - Elementary School
The job of Elementary School Head Secretary is done for the purpose of providing administrative and complex secretarial support to building main office and site Principal; establishing, implementing and maintaining office management; providing assistance to assigned school site administrators; monitoring assigned activities; assisting students, teachers, parents; enrolling students; and providing information, recommendations and direction as requested by assigned administrator.
Functionality will vary at each school site.
This job reports to Elementary School Principal.
Essential Functions
Administer first aid and prescription medications to students (under the direction of a health care professional) for providing emergency and necessary care in compliance with established guidelines.
Assist with summer school planning and implementation for providing necessary administrative support for District program.
Assist library, at some sites for ensuring administrative support for library media services and site operational functions, as assigned.
Collect payments for a variety of events and makes deposits for completing transactions and securing funds.
Compile data from a variety of sources for implementing all assigned data processes and procedures.
Coordinate a variety of projects, functions and/or program components for completing activities and or delivering services in a timely fashion.
Enroll students for ensuring accurate and timely completion of student enrollment.
Implement Leadership assigned duties for ensuring efficient site operation.
Maintain manual and electronic documents files and records for ensuring accuracy and providing historical reference in accordance with established administrative guidelines and legal requirements.
Manage payroll processes, at some sites for providing up-to-date information, accuracy and historical reference in accordance with established administrative guidelines and legal requirements.
Oversee building communication for providing necessary communication processes.
Participate in activities outside of contract day for ensuring adequate support for school site scheduled events.
Prepare school associated charges and deposits, and reports for implementing necessary financial transactions and maintaining documentation.
Respond to a variety of inquiries from a variety of internal and external parties for providing information or direction and/or facilitating communication among parties.
Submit work orders for ensuring necessary building processes for inventory and repair.
Supervise office staff for providing leadership and direction for employees.
Other Functions
Perform other related duties as assigned for ensuring the efficient and effective functioning of the work unit.
Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform multiple tasks with a potential need to upgrade skills to meet changing job conditions.

Responsibility

Utilization of some resources from other work units is often required to perform the job's functions.

Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity.
Generally, the job requires 60% sitting, 20% walking, and 20% standing.
The job is performed under conditions with some exposure to risk of injury and/or illness.
Experience: Job related experience with increasing levels of responsibility is desired.
Education: High school diploma or equivalent.
Equivalency: Administrative experience preferred.
