Job Title: Secretary - Elementary School Wage/Hour Status: Nonexempt/At-Will Reports To: Principal Pay Grade/Days: 203/226 Dept./School: Assigned Campus Date Revised: January 2012 Primary Purpose: Ensure efficient operation of campus administrative office and provide clerical services for school's administrative staff.Qualifications: Education/Certification: High school diploma or GED Special Knowledge/Skills: Proficient typing, word processing, and file maintenance skills Effective organizational, communication, and interpersonal skills Ability to use personal computer and software to develop spreadsheets, databases, and do word processing Knowledge of basic accounting principles Experience: One to two years secretarial experience, preferably in public education environmentMajor Responsibilities and Duties
Prepare and make cash deposits for activity account(s). May be responsible for the maintenance of activity checkbook(s) and the balancing of banking account(s). Assist campus administrator with campus budget preparations. May be responsible for data entry into system to manage campus budgets. Prepare and process purchase orders and F16s and distribution of received supplies, as needed. Monitor Substitute Employee Management System (SEMS), prepare and process leave requests and reports and submit to central office according to established deadlines. Monitor and process personnel time records including leave requests for staff. Compile information and submit to central office according to established deadlines. May be responsible for pickup and delivery of payroll. Assist campus administration with registration management. May be responsible for enrolling and withdrawing students throughout the school year. Prepare written correspondence for distribution to parents, forms, teacher schedules, or reports, including worker's compensation, using personal computer or typewriter. Assist with the maintenance of school calendar, coordination of meetings, and campus activities. Maintain physical and computerized files including mailing lists, student records and files, volunteer and visitor logs, and office communication. Prepare and submit maintenance work orders for campus as needed. Receive incoming calls, take reliable messages, and route to appropriate staff. Assist students, teachers, and parents as needed. Sort, distribute, or deliver mail and other documents. Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence. Maintain confidentiality. Perform other duties as assigned.Equipment used: Macintosh and Dell computers, updated software, typewriter, calculator, printer, copier, shredder, and fax machine. Working Conditions: Mental Demands/Physical Demands/Environmental Factors: Maintain emotional control under stress, hectic pace, and work with frequent interruptions. Repetitive hand motions; prolonged use of computer.
