Job Summary:
The Executive Assistant to the Superintendent provides high-level administrative support to the Superintendent, ensuring the efficient operation of the Superintendent's office. This role involves handling confidential information, managing communications, coordinating schedules, and serving as a liaison between the Superintendent and internal/external stakeholders.
Essential Duties&Responsibilities: Manage and prioritize the Superintendent's schedule, including appointments, meetings, and travel arrangements. Serve as the primary point of contact for communications with the Superintendent's office, including handling correspondence, emails, and phone calls. Prepare handbooks, presentations, meeting agendas, and other documentation for the Superintendent.Maintain an organized filing system for records and confidential documents. Assist in coordinating and preparing materials for Board of Education meetings, including drafting meeting minutes. Support the Superintendent in executing directives efficiently by coordinating with district leadership and staff.Organize and facilitate meetings, conferences, and special events on behalf of the Superintendent's office. Act as a liaison between the Superintendent, Board of Education, district staff, and community stakeholders. Handle sensitive matters with professionalism, discretion, and confidentiality.Supervise and coordinate the work of clerical office personnel as assigned. Perform other duties as assigned by the Superintendent. Qualifications&Skills:
Education&Experience:
At least two years of post-secondary training or an equivalent combination of education and experience in executive administration, office management, or a related field. Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools. Communication:
Strong verbal and written communication skills with the ability to interact effectively with diverse stakeholders. Organization&Time Management:
Ability to manage multiple priorities, meet deadlines, and work under pressure in a fast-paced environment. Confidentiality&Professionalism:
Must exercise discretion and maintain strict confidentiality in handling sensitive matters. Problem-Solving&Initiative:
Ability to anticipate needs, take initiative, and work proactively with minimal supervision. Work Environment&Physical Requirements:
Must be able to sit, stand, walk, and perform general office tasks for extended periods. Ability to lift or move up to 40 pounds. Frequent use of a computer, telephone, and standard office equipment. Must be able to work flexible hours, including occasional evenings for meetings.
Compensation:
Pay Grade:
115 (as per district salary schedule)
