Executive Assistant
This Executive Assistant role provides high-level support to the CEO and leadership team, ensuring the CEO's time, priorities, and commitments are managed with precision and discretion. You will own calendar and schedule management, coordinate meetings, prepare briefing materials, and serve as a key liaison between the CEO and internal and external stakeholders. Beyond traditional executive support, you will contribute ideas, lead strategic initiatives that support company culture and growth, and help drive the business forward rather than simply handling administrative tasks.Responsibilities Manage all activity in Outlook, including maintaining contact databases and managing professional and personal calendars and schedules for the CEO. Use initiative, judgment, and diplomacy to navigate competing priorities, resolve scheduling conflicts, and optimize the CEO's time.Anticipate the CEO's forward calendar needs and develop advance briefing materials to support effective preparation for meetings and travel. Continually update and maintain the company's Accountability Chart for all divisions to ensure leadership structure and responsibilities remain current. Pull information from internal systems and solicit input from functional personnel to compile reports, updates, and briefing documents as needed.Serve as a liaison between the CEO and other employees, ensuring clear, timely, and professional communication. Complete special projects and assignments by establishing objectives, determining priorities, managing time, gaining cooperation, monitoring progress, and solving problems. Communicate with internal colleagues and external counterparties with grace, diplomacy, and poise to complete tasks and resolve issues.Maintain awareness of special projects and corporate strategic and operational priorities so the CEO can effectively track and manage key initiatives. Follow up on open issues and action items to ensure timely progress and completion. Exercise solid judgment and absolute discretion when handling confidential information, documents, and conversations.Manage expense reporting and selected personal financial and administrative matters for the CEO with strict confidentiality and accuracy. Assist with general office administration, including office management, setup and tear down of office spaces, inventory management, cleaning coordination, and room reservation management.Plan and execute all aspects of the company's Annual Incentive Trip, typically hosting 50 to 200 guests, including logistics, communication, and on-site coordination. Assist in answering inbound office calls and ensure callers are directed appropriately and professionally. Lead strategic initiatives that support and enhance the company's culture and long-term success, contributing ideas and driving execution.Anticipate needs and proactively address issues before they arise, ensuring smooth operations and minimizing disruptions. Assist other Leadership Team members with administrative and operational support, as assigned. Resolve issues and troubleshoot a variety of operational and administrative situations with a solutions-focused mindset.Organize and maintain physical file systems to ensure records are accessible, accurate, and secure. Act as a strong business partner to the CEO by offering thoughtful, business-driving ideas and feedback when appropriate. Demonstrate a strong sense of urgency and ownership in completing tasks and projects, consistently driving work to completion.Perform other duties as assigned to support the CEO, leadership team, and overall business operations. Demonstrated expertise in calendar management using Outlook, including complex scheduling, time zone coordination, and priority management.Strong business acumen and the ability to understand and support strategic and operational priorities. Excellent organizational skills with the ability to manage multiple time-sensitive assignments simultaneously. High level of discretion and sound judgment in handling confidential and sensitive information.Outstanding written and verbal communication skills, with a professional and diplomatic demeanor. You may be asked to remain on-call during critical times. The dress code is business casual, with a smart casual standard where jeans are common but attire must remain neat and professional.
